Reports to: Director of Ministries, Content, and Communications 
Hours: Part-time (20 hours / week), Term (April 2025-May 2026)
Location: Vancouver, In Office and Hybrid, some travel required

SUMMARY 

The Ministries and Media Coordinator plays a vital role in supporting the Director of Ministries, Content, and Communications, ensuring smooth execution of key initiatives, including cohorts, city meetups, pastors retreats, and podcast administration. This position requires strong administrative and operational skills, strategic coordination, and the ability to contribute to the development of meaningful content and programming for Canadian pastors. 

This role is ideal for someone passionate about pastoral leadership development, content creation, and event coordination, with a keen ability to balance logistics, communication, and relational engagement.

RESPONSIBILITIES AND TASKS


Cohort Administration (Emerging Leaders Lab, Lead Pastors Fellowship)

  • Serve as the administrative support to the Director of Ministries, Content, and Communications with regards to all cohort programs.
  • Serve as a visible program leader in the Emerging Leaders Lab, alongside the Director of Ministries, Content, and Communications and other The Pastorate staff.
  • Oversee day-to-day administrative operations of the cohorts, including scheduling meetings, minute taking, guest logistics, and participant communication.
  • Maintain a detailed program calendar with session dates, topics, and facilitators.
  • Produce agenda documents for monthly online gatherings, monthly cohort gatherings, and monthly guide connect calls. 
  • Prepare session materials such as handouts, workbooks, and slide decks.
  • Manage technical requirements for meetings on Zoom.
  • Manage participant records, including onboarding, attendance, and program evaluations.
  • Schedule and confirm facilitators or guest speakers.

City Visits & Retreat Coordination

  • Assist in planning and executing strategic city visits where The Pastorate team connects with pastors and churches.
  • Coordinate travel, venues, schedules, and meetings for city visits.
  • Support the planning and logistics of retreats.
  • Manage registrations, communications, and event materials.


Podcast Administration & Media Coordination

  • Working closely with the Podcast Producer to provide administrative support for The Pastorate Podcast.
  • Schedule and coordinate guest interviews, ensuring smooth pre-recording communication and post-recording follow up. 
  • Prepare interview research notes and background briefs.

General Administrative & Team Support

  • Assist the Director of Ministries, Content, and Communications in administrative tasks beyond specific programs.
  • Support the recording of notes and task assignments along with AI tools to ensure effective meetings.
  • Manage key databases, ensuring accurate records of program participants, retreat attendees, and podcast guests.
  • Other duties as assigned.

REQUIREMENTS

  • Demonstrated experience in program coordination, administration, and leadership development.
  • Effective interpersonal communication and presentation abilities, both written and verbal.
  • Excellent organizational and time management skills, with the ability to handle multiple priorities.
  • Demonstrated passion for pastoral leadership development and empowering individuals to reach their full potential.
  • Pastoral experience is an asset.
  • Proficiency using Asana, Google Workspace, and Zoom.
  • Alignment with The Pastorate’s mission, values, and Statement of Faith.

Compensation

$25.00 - $32.00 per hour
